Head of Regulatory Reporting, European AIF manager

Client & Goal

Our client, a European AIF manager overseeing more than 100 funds, needed support with AIFMD Annex IV reporting across multiple European jurisdictions. The objective was to streamline XML generation, validations, approvals, filing, and audit-ready record keeping through a single platform while preserving flexibility around client-specific internal processes.

Some reporting steps remained intentionally in-house, while others were outsourced to SolvencyAnalytics. It was critical for the client to work with a highly reliable partner able to respond quickly and coordinate effectively across teams and regulators under tight reporting deadlines.

Challenge

The reporting setup involved multiple data sources, internal teams, and jurisdiction-specific filing requirements across 11 European regulators. A key challenge was combining flexible client-side workflows with a consistent process for XML generation, validations, approvals, filing, and audit requirements at scale.

Validation was particularly important. Reports required both technical and business content checks — including historical and point-in-time validations — while remaining transparent enough for the client to independently review outputs before filing.

At the same time, the approval workflow needed to support multiple stakeholders with different responsibilities while maintaining clear accountability and tight filing timelines.

Solution

The client used SolvencyAnalytics’ AIFMD control room to manage AIFMD Annex IV reporting across jurisdictions while enabling flexible collaboration between the client’s teams and our reporting specialists.

The solution included:

  • XML generation and filing across 11 European regulators.
  • Technical and business content validation, including historical and point-in-time checks.
  • Human-readable report copies enabling client-side review alongside XML submissions.
  • Flexible approval workflows supporting both client-side and internal sign-off.
  • Filing tracking including regulatory acknowledgements, validation feedback, and issue handling across jurisdictions.
  • Audit-ready record keeping with visibility into report status, successful submissions, and upcoming deadlines on a single platform.
  • Stakeholder coordination in case of filing errors or exceptions under tight deadlines.

Results

The client successfully moved AIFMD Annex IV reporting for more than 100 funds onto a single operational platform used together with SolvencyAnalytics, while retaining control over selected internal processes.

The reporting framework was fully operational ahead of the implementation deadline and has run reliably since go-live across all relevant jurisdictions. The client now has a single view of submissions, filing acknowledgements, validation outcomes, and upcoming deadlines — improving transparency and significantly reducing coordination effort.

By combining managed service execution with flexible client workflows, the solution delivers reliable AIFMD reporting across multiple regulators while preserving the visibility and control required by the client.
